Revenue systems

From badge scans to booked revenue: the 72-hour event follow-up system

Congress and workshop leads go cold fast. A simple system to capture, score and follow up event leads within 72 hours.

Companies spend heavily to be present at congresses and workshops: booth, travel, sponsorship, speakers. Then the leads sit in a spreadsheet for two weeks while the team recovers. By the time follow-up starts, the doctor who was genuinely interested has forgotten the conversation, or has spoken to a competitor.

Before the event: decide what happens after

  • Agree what counts as a hot, warm and general lead
  • Assign each category an owner and a response time
  • Prepare follow-up messages, a short summary of the product or program, and booking links
  • Set up a capture form or CRM app that works offline
  • Book a 30-minute debrief for the first morning after the event

At the event: capture context

A name and phone number is not a lead. Capture three things in every conversation: what the person is interested in, how soon, and the agreed next step. Thirty seconds of notes at the booth save a week of guessing later.

After 72 hours: measure the event properly

Judge the event by what it produced in the pipeline, not by footfall. Two weeks and three months later, check:

  • Leads by category and by team member
  • Meetings, demos and trainings booked
  • Opportunities created and their value
  • Revenue closed that started at the event

This turns the next sponsorship decision into a business decision. It also gives event organizers something they rarely get from sponsors: evidence of value, which makes the next conversation easier for everyone.
