The situation

A regional event organizer wanted a respected international speaker for a multi-day program. Both sides were interested. The details were not yet defined.

The real constraint

Cross-border speaker engagements rarely fail on interest. They fail on details: is the fee per session or per day, who books travel, which currency, which entity pays, what happens if dates move, and who may record the content. Left open, each detail becomes a delay or a dispute.

The decision

Package the engagement as a single written proposal with a day-rate structure, defined deliverables and payment through one contracting company, so the organizer could approve it internally in one step.

What I built

  • A scope of work for three days: sessions, workshops and availability for faculty meetings.
  • A per-day honorarium structure in euros, with the total for three days stated clearly.
  • Travel and accommodation terms, and who arranges them.
  • Payment schedule and routing through a single contracting company.
  • Cancellation, rescheduling and recording-rights terms.

What changed

The organizer received one document that could go straight to internal approval, and the speaker had clarity on scope, payment and obligations before committing dates.

Apply it yourself

  • Is the fee defined per day or per session, in one currency?
  • Are travel, accommodation and who books them written down?
  • Is there one contracting entity and a payment schedule?
  • Are cancellation and rescheduling terms agreed?
  • Are recording and content rights clear?
Interest starts a speaker engagement. Clear terms finish it.
